01
Start from a real request
Contact a person about the order or enquiry they actually made, identify the business and explain why you are writing. An order-related contact is not automatically permission for repeated marketing messages. Respect requests to stop and do not buy or scrape phone lists.
For automated or business-initiated messaging, consult the current WhatsApp Business rules on consent, templates and messaging windows. This guide does not claim the COD Club support button sends bulk campaigns or provides an approved broadcast service.
02
Use a concise clarification message
A useful draft is: “Hello, I am following up on your request for [product]. Could you confirm [missing detail] so the responsible team can review the order?” Replace each placeholder with verified information and keep the message specific.
If the customer asks for the total, explain the confirmed order amount and any included charges accurately. Do not promise a delivery day or refund condition that has not been confirmed for that order.
03
Protect the conversation
Avoid sharing screenshots containing addresses, phone numbers or private customer notes in public groups. Never ask for an account password, a payment PIN or card security details. If a teammate needs an issue resolved, use the order reference and the authorized operational channel.
Collect only the detail required for the order. Store follow-up notes factually and do not add sensitive personal observations that have no fulfillment purpose.
04
Hand off changes properly
A customer may request a corrected address, a callback or cancellation. Pass the request to the responsible team using the recorded order reference. Do not submit another order merely to fix an existing one, and do not call an order delivered because the customer replied positively.
Review the recorded status for the actual outcome. Chat helps communication; confirmation, shipment and financial results remain separate steps.
